Email accounts

Connect the mailboxes your campaigns send from, set their daily limits and move them between workspaces.

Connect a mailbox

  1. Click Connect a mailbox.
  2. Pick where the mailbox is: Google (Google Workspace), Microsoft (Microsoft 365 and Outlook) or Any provider (SMTP and IMAP).
  3. Google: click Sign in with Google (recommended) or use an app password. Microsoft: follow the short setup guide (Bought from Microsoft or Bought from GoDaddy), wait about an hour, then click Sign in with Microsoft.
  4. Any provider: pick Hostinger, Zoho or Other, then enter the sender name, the email address, the SMTP username and password, and the IMAP server for replies and warmup.
  5. Set the daily sending limit and click Connect and test.

Guides for each provider

  • Connect a Google mailbox, and Use an app password for Google Workspace, for Google Workspace mailboxes on your company domain.
  • Allow Ziclon in Google Workspace, when your organisation limits which apps can sign in.
  • Connect a Microsoft mailbox, and Allow Ziclon in Microsoft 365, for Microsoft 365 and Outlook.
  • Enable SMTP in Microsoft 365 or GoDaddy, the setup to do before you click Sign in with Microsoft.

The list

  • Each row shows the mailbox and how it is connected, its health score, warmup progress, emails sent today, daily limit and status.
  • Hover the health score to see how many warmup emails went to spam.
  • The flame turns warmup on or off. The menu (three dots) opens Settings, Move to workspace, Warmup or Deliverability, and lets you send a test, pause or enable the mailbox, or remove it.

Daily limit

  • Each mailbox can send up to 50 campaign emails a day. 20 is recommended.
  • Tick Start low and raise this mailbox's campaign sending a little each day to let a new mailbox build up slowly.
  • A campaign's own daily limit and ramp apply on top of this.

Manage a mailbox

  • Click a mailbox to open its Settings and Warmup tabs.
  • Sign-in shows how it is connected, with Reconnect.
  • Add a signature under Sender. Use it in emails with the sender signature variable.
  • Send a test, or pause and enable the mailbox, from the Mailbox card.

Move a mailbox to another workspace

  1. Open the mailbox and stay on its Settings tab.
  2. Under Move to another workspace, pick the workspace.
  3. Click Move mailbox and confirm.
  4. The mailbox, its limits and its warmup go with it. It stops sending for this workspace's campaigns; past conversations stay here.

Reconnect a mailbox

  1. A mailbox connected with Google or Microsoft shows Reconnect needed when its sign-in expires, for example after a password change. It stops sending until then.
  2. Click Reconnect on the mailbox, or open it and click Reconnect on its Sign-in card.
  3. Sign in with the same address. The mailbox, its warmup and its campaigns carry on where they stopped.

Tips

  • For Google Workspace without Sign in with Google, use an app password, not your normal password.
  • Use several mailboxes at a modest limit rather than one mailbox at a high limit.
  • Moving is offered only between workspaces of the same account where you are an owner or admin.

Settings reference: one mailbox

  • First name, Last name and Sender name: the sender name (up to 120 characters) is what people see in their inbox. First and last name fill the sender merge fields.
  • Signature: up to 5,000 characters, used where an email has the sender signature merge field.
  • Mailboxes connected with Google or Microsoft show a Sign-in card with Reconnect instead of server settings.
  • Other mailboxes: Email address, SMTP host, Port, Encryption (TLS on port 587 or SSL on port 465), SMTP username and password, IMAP host, IMAP port (993 by default) and IMAP password. Leave a password blank to keep the saved one.
  • Daily send limit (campaigns): 1 to 50, 20 recommended. Raise the campaign sending limit gradually: lets a new mailbox build up a little each day.
  • Mailbox protection: Pause campaign sending when health drops below a limit (on by default, 90 by default, 70 at the lowest). When health recovers: Resume automatically when health recovers (the default) or I'll resume it myself. Click Save protection.
  • Mailbox: Send a test, and Pause mailbox or Enable mailbox. A paused mailbox sends nothing.
  • Owners and admins can edit mailboxes. Moving a mailbox to another workspace needs the right to delete it.

Change many mailboxes at once

  1. On Email accounts (or AI Warmup), tick the mailboxes, or tick one and click Select all matching to take every mailbox that matches the filters.
  2. Click Email settings or Warmup settings in the bar that appears.
  3. Tick each setting you want to change and set its value. Settings you do not tick stay as they are.
  4. Click Apply to selected.

What the bulk popups change

  • Email settings: Daily sending limit, Minimum health score (campaigns pause below it, 70 to 100), Status (Active or Paused), Sender name and Tags (Add, Remove or Replace all with).
  • Warmup settings: Warmup on or off, Warmup emails a day to start, Ramp up (on or off, a percentage a day up to a daily most), Weekdays only, Reply rate, Write every warmup email with AI (paid plans) and Warmup emails (Built-in library, My own emails or Both, mixed).
  • Filters on the list: Email, Added, Campaign, Provider, Status, Health and Tag.
